Dependent care FSA: what providers give parents
Many parents pay for daycare through a dependent care FSA at work and get reimbursed from it. To be paid back, they send their FSA administrator a claim showing the dates of care, the amount, and your name, address and taxpayer ID, often with your signature or a receipt from you. A clear receipt for each payment, and a year-end statement, cover almost every administrator.
What a claim needs
| Item | Where it comes from |
|---|---|
| Dates of care (the service period) | Your invoice or receipt: "Care for Emma, Nov 3–7, 2026" |
| Amount for that period | Your receipt |
| Provider name and address | Your receipt or statement |
| Provider taxpayer ID (SSN or EIN) | Your statement or Form W-10 |
| Provider signature, or an itemized receipt | Many claim forms have a box for you to sign |
Each administrator has its own form, so a parent may ask you to sign a page now and then. An itemized receipt with dates of care usually replaces the signature.
Care must happen before it's reimbursed
Dependent care FSAs pay back care that has already been provided. If a family prepays for next week or next month, the administrator reimburses it only after those days have passed. Put the service dates on every receipt so parents can claim at the right time.
What counts
- Care for a child under 13 so the parent (and spouse) can work or look for work.
- Registration fees and deposits count once care starts, if they're required to get care.
- Meals and snacks included in your rate are fine; separately billed items such as field trips or diapers often aren't.
- Payments to the parent's spouse, to the child's parent, or to the parent's own child under 19 don't qualify.
The yearly amount a parent can set aside is covered in dependent care FSA limit 2026.
Make it easy for families
- Send an invoice with the service dates each week or month.
- Give a receipt for every payment, with dates of care and your TIN if they ask for it.
- In January, hand out a year-end statement with the total paid.
- Use an EIN instead of your SSN on all of it. See Form W-10 for daycare providers.
Receipts parents can claim with. Daycare Binder makes invoices and receipts with the dates of care, your details and, if you want, your TIN. Pro saves every family, tracks who paid and prints January statements for all families in one PDF, for $12 a month.
Make a receiptDo I have to sign FSA claim forms?
You're not required to, but refusing makes it hard for the family to get reimbursed. An itemized receipt with dates of care is the easier alternative.
Does a dependent care FSA change my taxes?
No. You report all daycare income on your Schedule C either way. The FSA only affects the parent's taxes.
Can a parent use the FSA and the tax credit?
Not for the same dollars. Amounts reimbursed from the FSA reduce the expenses they can use for the child and dependent care credit on Form 2441.
